RepBooks

Privacy Policy

Last updated: October 4, 2026

This policy explains what RepBooks collects, how it is used, and the choices a rep has. It covers the app and the account behind it.

1. Who we are

RepBooks is back-office software for independent furniture sales reps, operated by ChairBooks LLC, a Nebraska limited liability company. A rep uses it to keep their own business records. We are not a party to any agreement between a rep and the factories or dealers they work with.

2. What we collect

  • Account information — the name and email address used to sign in.
  • Business records the rep enters — factory lines, dealers, orders, commission statements, drives and mileage, income, spending, tax settings, and notes they choose to keep.
  • Receipt photographs — pictures of receipts a rep attaches to a spend.
  • Bank transaction data — only if the rep chooses to connect a bank account. See section 5.
  • Basic technical data — sign-in timestamps and device or browser type, needed to run and secure the service.
  • Crash data — when the app or the site hits an error, a crash report (what failed, where in the code, the device or browser type and the app version), linked only to an anonymous account ID. See section 5.

3. How we use it

Only to run the rep’s books: to store and show their records, to work out mileage, profit, self-employment tax and the other figures the app calculates, to keep the service running and secure, and to answer support requests. Nothing else.

4. We do not sell or share your information

RepBooks does not sell personal information, and we do not share a rep’s records, dealer lists, order figures or contact details with third parties or affiliates for marketing or promotional purposes. A rep’s books are visible to that rep and to nobody else using the app.

5. Service providers

Three providers process data on our behalf, under their own privacy and security terms:

  • Google Firebase — sign-in, database and file storage. All records and receipt images are held there.
  • Plaid — the bank connection, and only when a rep chooses to connect an account. Plaid supplies the transactions we show for review. A rep who never connects a bank sends nothing to Plaid.
  • Sentry — crash and error reporting, so we can find and fix what breaks. A report says what failed and where, on which kind of device or browser; for a small sample of visits it also records how long pages took to load. Before a report leaves the phone or our server, email addresses, phone numbers, dollar amounts, account numbers and bank or Siri sign-in tokens are stripped out, and no screenshots, screen recordings, IP addresses or request contents are sent. The only identity attached is the anonymous account ID, and Sentry never sees a rep's records.

There is nothing else. RepBooks does not process payments, does not send email or text messages, carries no advertising, and runs no analytics or tracking service. Crash data is used only to fix the app and is never used to track a rep or shared for advertising.

6. Receipt photographs

A receipt photograph is shrunk on the phone and stored under the rep’s own folder in Firebase Storage. It is reachable only by that signed-in rep, the app stores a path rather than a public link, and deleting the spend deletes the image with it.

7. How long we keep it

We keep a rep’s information while their account is active, and for a reasonable period afterwards in case the account is reopened or where records must be kept for legal, accounting or security reasons. A rep can delete individual records in the app at any time.

8. Access, export and deletion

Every rep can export their whole year — every row, plus a Schedule C worksheet — from the Tax prep screen (Money › Tax prep), at any time, without asking anyone. To have an account and its records deleted, email support@chairbooks.com from the address on the account and we will remove them.

9. Security

Data is encrypted in transit and at rest, and access is controlled by rules that allow a signed-in rep to reach their own records and nothing else. No system is perfectly secure and we cannot promise absolute security.

10. Children

RepBooks is business software for adults. We do not knowingly collect personal information from children under 13.

11. Changes to this policy

We may update this policy. If a change is material we will update the date above and, where appropriate, tell account holders.

12. Contact
